The unglamorous part
The most common outdoor event problem is not design, it is electricity. Ask about how it is getting powered before the design conversation feels finished. A beautiful plan with no way to power it is a drawing.Tell the lighting company about the band, the caterer and the photographer, since all of them want power and floor space too.
Weather is the other one
Outdoor events are subject to whatever the day brings. It is worth asking what happens if the forecast turns, even though nobody enjoys it. Having an answer already agreed is the difference between an adjustment and a crisis.
What tends to matter at an event
Two categories: the parts people photograph and the parts people walk on. The photographed parts are the string lights, the focal point, the backdrop. Function means the route in, the steps and the way out, and it only gets noticed when it is missing. Both belong on the list. Only one of them ends up in the photographs.
Who else needs to agree
Venues have rules, and finding them out late is expensive. Access windows, load in times, attachment restrictions, and the strike deadline are all set by the venue, not by you. Introduce them early. It is free and it prevents the most.

Planning an event, more feels safer. Dark surroundings lower the threshold, so what looks sparse on a plan often looks generous on the night. The spaces that people remember are lit sparingly, with genuine dark between the bright points. A designer who says you need less than you think is doing you a favor.
